Privacy Policy
Our commitment to your privacy
Privacy is a human right and a core value at Private Minds. As AI changes how information is used, we believe protecting privacy must be a deliberate part of how systems are designed and how we work with you.
We are not a data broker. We do not sell, rent or trade personal information, or share it with data brokers or for third-party marketing.
We treat your enquiries, the information you share and the fact that you are a client as confidential. We do not discuss our clients or their work with others, or use client relationships for publicity, without their explicit permission.
Where information must be processed by service providers to deliver our services, or disclosed as required by law, we limit what we share to what is necessary. Our use of service providers is explained below.
Who we are
Private Minds Pty Ltd is based in Subiaco, Western Australia. We handle personal information in line with the Privacy Act 1988 (Cth) where it applies.
For privacy questions, requests or concerns, contact [email protected].
What we collect
When you use our enquiry form, we collect:
- Your name.
- Your preferred contact method and the corresponding email address or telephone number.
- Your message.
- Any optional instructions about how or when to contact you.
There are no file uploads. A brief description is enough to start a conversation. Please leave out confidential documents, passwords and sensitive project details. We can agree on a suitable way to share more later.
Our hosting and security providers also process basic information about your visit, such as your IP address, browser details and request times, to operate the website and protect it against spam and misuse. Encrypting your enquiry does not make your visit anonymous.
We do not use website analytics.
How we use your information
We use your information to understand and respond to your enquiry and keep a record of our correspondence. We use your preferred contact method and follow your contact instructions.
We do not enrol you in marketing or use your enquiry to train AI.
How we protect your information
We take practical steps to protect the information you entrust to us. Everything you enter in our contact form is encrypted before it is sent, and we use Proton Mail to protect our email correspondence.
Email privacy also depends on the service receiving the message. If you need to share sensitive information, we’ll agree on a suitable way to do that with you.
Service providers
We use Cloudflare to host our website, protect the form against spam and relay encrypted enquiries. We use Proton Mail to receive and manage our email correspondence.
These services process information as part of providing those functions. The enquiry content sent through our form is encrypted; basic website and security information is processed separately.
Information may be processed outside Australia. Further information about these providers’ handling of personal information is available in their privacy policies:
- Cloudflare: https://www.cloudflare.com/privacypolicy/
- Proton: https://proton.me/legal/privacy
Information entrusted to us during client work
We agree how project data will be used, protected and handled. This includes where it may be stored and processed, who may access it, and when it should be returned or deleted.
If cloud services are needed, we select and configure them with your privacy, security and data-location requirements in mind. Any requirements to keep data in Australia, and any limitations of the proposed services, are addressed before those services are used.
The arrangements are specific to each client and engagement and are agreed before we receive or access project data. The website and enquiry services described above do not determine how your project data will be handled.
How long we keep information
We keep enquiry correspondence for as long as needed to respond and manage any resulting work. Some records may need to be kept longer for legal or record-keeping requirements.
We review the information we hold and delete it when it is no longer needed for those purposes. You can contact us to request deletion.
We retain, return or delete project data in accordance with the arrangements agreed for that engagement, subject to applicable legal requirements.
Your choices and privacy concerns
You can contact [email protected] to request access to, correction of, or deletion of your personal information, or to raise a privacy concern. Please tell us if you have instructions about how we should respond.
